Accounting Assistant

General Purpose of the Position
Under general supervision, to perform accounting work of moderate to average difficulty; to provide clerical and administrative support to the accounting division as well as other divisions or departments, and to perform related work as required.
 
Essential Duties and Responsibilities

  1. Accounts Payable:
Assists accounts payable. Duties include, but are not limited to:
  • Opening and/or sorting finance mail
  • Assists with vouchering all incoming invoices
  • Distributing vouchers for department approval; distributing vouchers for Vice President approval
  • May input Accounts Payable data into the accounting system after all approvals have been made.
  • Assists in running checks as directed.
  • Assists to ensure that bills that have pre-payment or early payment discount are paid timely.
  • Gets checks signed.
  • Prepares all material for mailing, ensuring that appropriate copies are maintained and filed.

  1. Accounts Receivable:
Assists accounts receivable. Duties include but are not limited to:
  • Collect checks and account for cash.
  • Assists with posting checks and adjust accounts.
  • Assists with processing of warrants and claims.

  1. General Accounting and Administration:
Performs general accounting and administrative duties, including but are not limited to:
  • Receptionist duties, including telephone answering and distribution of telephone sheets.
  • Supply inventory and ordering.
  • Classify data according to prescribed accounting systems.
  • Prepare accounting or statistical reports.
  • Make mathematical calculations.
  • Other office duties as required, including but not limited to: typing, filing, making reservations and making telephone calls.

Knowledge, Skills and Abilities Required:
Knowledge of:
  • General accounting principles.
  • Office practices and procedures related to processing and recording accounting or bookkeeping transactions.
  • Arithmetic computations related to maintaining, compiling and reviewing statistical or financial records.
  • Operation and use of general office equipment including computers, copiers and calculators.
  • Microsoft Office Suite. Proficiency using Excel a plus.
  • Telephone, office and online etiquette.
Skills and Ability to:
  • Understand routine accounting transactions.
  • Reconcile accounting differences.
  • Understand the relationship among accounting or statistical records and documents.
  • Perform mathematical computations accurately.
  • Learn how to use accounting software.
  • Manage and complete multiple tasks.
  • Read, understand and follow written directives and oral instructions.
  • Communicate effective orally and in writing.
  • Establish effective working relationships with management, staff, customers, business partners and vendors.
  • Exercise appropriate judgment in answering questions and releasing information.
