Job Purpose
Administrative Assistant ensures a professional level of office management for the Department of Mathematics, the Chair, Associate Chair, Director of the Math Graduate Program, Director of the Math Meet, 43+ faculty, who serve 3,500+ students per semester. Handles routine to complex inquires from students, faculty, staff and the public, ensuring their needs are met.
Minimum Requirements
High school diploma with at least 2 years of working experience in office or business management is required. Bachelor’s degree is desired. Supervisory experience is desired. Experience working in higher education is a plus. Candidates with an equivalent combination of experience and/or education are encouraged to apply.
Required Knowledge, Skills and Abilities
Exceptional organizational, written and oral communication skills. Proficient with Microsoft Office platforms (Word, Excel, Outlook). Must be capable of rapidly becoming familiar with the SunGard Banner system. Ability to adapt to current and emerging electronic technology in order to locate information and to prepare and store records and documents. Knowledge of FERPA is helpful.
Additional Comments Regarding Position
Expected to work a few weekend days during the year for the math meet and commencement.

Activity
Ensures professional level of office management for the department. Coordinates and manages, with oversight from the chair, all course scheduling and faculty assignments—including soliciting teaching preferences from faculty—in accordance with institutional regulations and deadlines. Serves as the department’s primary contact person for faculty, students, staff, and the public. Provides answers, resolves problems, makes appropriate referrals and investigates issues. Supervises record keeping in accordance with record keeping regulations. Assists the chair in maintaining compliance with FERPA. Coordinates office assignments, moves, and set up for new faculty. Coordinates changes in faculty office assignments. Acts as department liaison with library, bookstore and other College services. Assists faculty with textbook orders and publisher representatives..

Activity
Advises students in course scheduling, registration and math placement. Coordinates and manages the departmental interface with the mathematics placement exam for all incoming undergraduates. Assists with overrides. Coordinates the math common finals.

Provides a wide variety of support to the faculty and the Chair. Attends department meetings and documents the business decisions made there. Assists the Chair with follow up on action items. Supervises the collection and posting of faculty syllabi per compliance with College rules and regulations. Provides faculty visa application support. Collects, organizes and stores assessment artifacts for departmental program and general education assessments. Coordinates, documents and communicates regarding student awards and scholarships

Coordinates a variety of events, to include but not limited to, graduation party, pre-colloquium tea, recruitment events for math majors, and other events as necessary. Coordinates with Alumni Affairs with regard to communication with alumni and alumni events for the department.
